Replacement of a Document Management System (DMS)

Delivery of a Document Management System (DMS) for the University of Amsterdam (UvA) and the Hogeschool van Amsterdam (HvA): replacement of the current DMS with a future-proof, secure, and user-friendly solution for sustainable management, accessibility, and archiving of digital documents and files. Included are the delivery of the DMS solution, implementation and configuration, migration of existing documents, metadata, and files, integrations with the existing IT environment, training and knowledge transfer, management, maintenance, support, and further development. The solution must connect to the existing information provision of UvA and HvA and support document and file management, metadata, workflows, authorization, retention periods, archiving, destruction, search, audittrail, and integrations with the existing Microsoft 365 environment. Evaluation considers the quality of the solution and service, the implementation and migration approach, future-proofness, security and compliance, user experience, adoption, and self-reliance, as well as price. Mandatory demonstrations are part of the award procedure. The contract will be awarded based on the most economically advantageous tender (BPKV).
