Fleet Tracking System, Electronic Logbook, and Transport Ordering System for Turku Vocational Institute

Procurement of a fleet tracking system, an electronic logbook, and a transport ordering system for Turku Vocational Institute: Contract period from September 1, 2026, to August 31, 2028, with an option for a two (2) year extension until August 31, 2030. The system is intended to support teaching activities, vehicle use and monitoring, fulfill electronic logbook obligations, improve fleet utilization, and reduce manual work. It is designed for a multi-user environment, to be used by approximately 30 main users (TAI staff) and students. The fleet tracking system and electronic logbook are for all approximately 60 vehicles of the institute (passenger cars, heavy vehicles, work machines). The transport ordering system and mobile devices are for approximately 30 vehicles. Of these, approximately 30 vehicles require a tracking system, an electronic logbook, and authentication; an additional approximately 30 vehicles require a transport ordering system and mobile devices. The stated quantities are estimates and not binding. The system must be browser-based, data security compliant, and role-based. The service includes system implementation, device installations, and user group-specific training. An option exists for extending the solution to Turku City's vehicle management and/or expanding the use of the electronic logbook.
