Technical and logistical support for event organization and marketing

Technical and logistical support for the organization and execution of specialized and public events, the development of professional communities, information and advertising campaigns, social media management, media planning, provision of promotional materials and consumables, and the creation of an online community to popularize project No. 101250707 BRAIN++ under the "Horizon Europe" program. The service includes the organization and execution of two event types: Type A (large events such as conferences, forums, hackathons) with approximately 11 events and a minimum of 100 participants per event, aiming for 600 participants by 30.11.2026 and at least 5,000 participants by 30.11.2028. Type A events are fully organized by the contractor, including communication, media coverage, promotional materials, catering, provision of speakers and hosts, guest lists, filming, technical equipment, logistics, stage, and sound technology. Type B (small events such as conferences, forums, competitions, webinars, networking, seminars, discussions) with a minimum of 42 events and 20 to 100 participants per event, aiming for a total of at least 3,000 participants. The contract is considered fulfilled upon reaching a total of at least 8,000 participants across both event types. Services include event planning, organization, and coordination, participant registration and management (including electronic platform), technical equipment and logistics (audio-visual, presentation, lighting, and other technical equipment), provision of speakers and hosts, filming, media planning and reporting, social media management and advertising campaigns, creation and provision of promotional and informational materials and consumables, establishment and maintenance of an online community. Events will take place in the Republic of Bulgaria, with over 80% planned for Sofia. The rental of premises/halls is not part of the contract; the contractor can provide suggestions for suitable premises. further items as per the tender documents.
